GP Alliance enjoys fairer rotas, fuss-free payroll and compliance across ten localities

The challenge

Sunderland GP Alliance had been using a lightweight workforce management system to organise their staff rotas. However, with each day that passed, the team became increasingly frustrated with the lack of features and functionality, they longed for a process of assigning shifts which was fairer and simpler.

The GP Alliance is one of the largest in the North-East, responsible for almost two-thousand staff across ten localities, including:

  • Extended access services
  • Recovery at home services
  • Covid assessment services
  • Diagnostic programme
  • Covid vaccination programme
  • Ambulatory ECG services
  • Overspill clinics
  • GP Alliance employees

A new system would need to be able to manage the rotas of all these services. Since the GP Alliance would be implanting a workforce management software, they preferred if it could also accommodate their HR and Finance functions.

The solution

Sunderland GP Alliance concluded that RotaMaster could address all their current challenges and look after their HR and Finance requirements.

This meant implementing:

  • RotaMaster – Core Product
  • People+ – The HR Module
  • Finance+ – The Finance Module

RotaMaster workforce management software would instantly address the challenge of unfair and labour-intensive staff bookings. Rather than hub managers booking based on familiarity with the workforce, web bookings meant that shifts were filled on a fairer, first-come, first-served basis.

People+ took care of compliance requirements including working time directive and GMC registration. It would also notify the team and staff when training was due to expire.

Finance+ meant that the function would essentially run itself. Payroll runs were automated and fed into the GP Alliance’s payroll system, Sage.

Initially five of the ten localities would be implemented, with a view to onboarding the remainder in a few months.

The results

RotaMaster went live at Sunderland GP Alliance in March 2021.

The roll-out has been so successful that we have also onboarded GP Alliance staff members onto the system.

In less than a year, we now process on average 2,284 hours and 600 shifts per month across all teams.
